Go to Clients → Pipeline.
Click "New Deal" in the top-right corner, or click the "+" button at the top of any stage column.
Enter the prospect's name and email address.
Select the starting stage.
Optionally, enter an estimated deal value (the estimated annual premium or total policy face amount — your choice, as long as you're consistent).
Click "Create Deal."
The deal card appears in the selected stage column immediately.
Click any deal card to open the deal detail page. The detail page shows:
Drag and drop: On the Kanban board, drag a deal card to the destination stage column. The stage change is logged immediately.
From the detail page: Use the stage dropdown in the header. Select the new stage and confirm.
If you're moving multiple deals at once (e.g., a batch of prospects who all had discovery calls this week), the Kanban board drag-and-drop is faster. For a single deal with notes to add, open the detail page so you can update the stage and add a note in one visit.
From the deal detail page, click the Notes tab and then "Add Note." Deal notes follow the same format as client notes — markdown supported, tags available.
Notes added to a deal before the prospect becomes an active client are preserved and become part of their client profile once the deal is linked.
From the deal detail page, click the edit icon (pencil) in the header to update:
When a prospect reaches the Active stage, link their deal to their Policy Stack client account:
Open the deal detail page.
Click "Link to Client Account" in the header.
Search for the client by name or email.
Select the matching client account.
Confirm the link.
Once linked, a button in the deal header takes you directly to their client CRM profile, and their profile shows a link back to the deal.
